HOST YOUR OWN COMMUNITY MEETING WITH AC44's "Community Chat Kit"
What do you envision Albemarle County to be like in 2044?Conversations about the future of the county should not just be limited to County-organized events. Instead, they should occur wherever and whenever a group of interested individuals can come together and share their ideas.
The Community Chat Kit provides everything you need to host your own discussion. You can download the materials, host your own meeting, and submit the results of your discussion back to the County as instructed. This way, you can have a say in shaping the future of Albemarle County.
Worksheets and forms included in the materials can be printed or are fillable in their digital (on-screen) form.
Community Chat submissions will be accepted until April 14, 2023.

WHAT IS A COMMUNITY CHAT KIT?
A Community Chat Kit is a public engagement tool designed tool for community groups, neighborhood associations, and friends to gather and share their thoughts and suggestions for the future of the county. We hope it encourages group conversation, discussion, and a deeper level of self-directed engagement.
WHAT DOES A HOST DO?
As the host, you'll invite folks to your event, share materials, and be prepared to facilitate the conversation. You'll provide an introduction to the AC44 project by reviewing the Introduction materials that are included as part of the host materials. Finally, you'll submit the meeting materials to County staff. You can do it!
Presentation Materials
One component of your Community Chat is the "AC44 Overview" presentation. Depending on your technology, comfort, and personal style you can select a format that works for you.
We have come to expect some bumps in the road when it comes to virtual meetings. At the heart of the Community Chat is gathering people together to share ideas, learn new perspectives, and participate in this process. Whether you are hosting or participating, we ask that you bring your best self to the discussion. With that said, here are some additional guidance to host a virtual meeting.
Before the Event
Set Up Registration Form
Registration is helpful so that you can be prepared to have enough breakout room facilitators.
If you choose to forego registration (which is totally fine!), you will need each breakout group to have one volunteer facilitator. Those volunteers should understand that their role is a little different than a participant (see the Host Kit for roles).
Invite/Inform Your Guests
Share links to the topic area pages in advance (not required, but could be helpful).
Prepare Your Facilitators
Share the Host Materials and note-taking strategies
During the Event
Welcome and Introduction
Consider sharing some basic instructions on how to use virtual meeting tools like chat, unmute, etc.
AC44 Overview Presentation
The presentation should be done with the full group, then you as the host can share what people can expect in the breakout rooms.
You should be able to closely follow the script provided in the Host Materials.
Conversation
Individual Reflections in Breakout Rooms
Ask participants to have their Individual Reflections worksheet or have paper and pen on hand. Share the questions out loud and/or in the chat.
Prefer a digital tool? Use this Google Jamboard template. You'll need to copy the template and create one per breakout room. This will require preparation in advance for those without Jamboard experience.
Share a link to the Jamboard with room participants.
All participants can add their sticky note ideas to the board
If people can't access the Jamboard, have participants type their initial responses in the chat and the facilitator can copy/paste their ideas onto sticky notes.
Share your screen with the Google Jamboard during the meeting so that participants are able to see each other's input and comments.
Conversation Themes in Breakout Rooms
This is the piece that you will submit to County staff.
